Question:

How to set up advanced settings (e.g. SMTP and One-time Password) for Send Request in Curtain Admin?

 
 
Answer:When Send Request for approval, it can automatically send mail and attachments without sending it through a third-party mail system.
After the approver approved the request, it can using one-time password options for encrypt approved files to improve the security.
Most ISP have email attachment size limitation, we can using shared folder to get approved file instead of email attachment.

Send Request Setting
1. Open the Curtain e-locker Admin , click File -> Settings -> Send Request, checked "Enable SMTP for Send Request", fill in the SMTP related parameters, and check "Enable one-time password". as the picture shows:

There are few options of send Request:
  • Disable modify the applicant's email : This function is applied to the user-assigned by policy mode, and the applicant's email address is specified by the administrator.
  • Package the attachment after approval : After the approver approved the request, the attachments sent back to the applicant can be compressed to zip file or not compressed.
  • Enable one-time password : When the approver approved the request, the file will be encrypted to zip file with a one-time password and sent to the applicant. One-time passwords will be sent via another email for more security.
  • Enable to use shared folder for Send Request : When the approver approved the request, approved files will store in the shared folder for requestor.

2. After the SMTP parameter setting is completed, click the "Test" button to fill in the recipient information. If the recipient receives the test email, the SMTP settings are valid. as the picture shows:

3. Base on individual needs, it can use shared files instead of email attachments to receive approved files, please select the option " Enable to use shared folder for Send Request.", then Click "Setting" to setup.

4. Enter the share folder path (UNC) and click "Ok" to completed.

There are few options of share folder housekeeping:
  • Delete file after request _ Days : Delete All files after requested specific days.
  • Delete file after approve _ Days : Delete All files after approved specific days.
    • Delete if All/Any applied : "All" is meaning that if above all selected are meet the condition then delete files, "Any" is meaning that if any selected is meet the condition then delete files.
P.S. Please enter authorized account information in Username and Password field to delete share folder files if needed.

Curtain Client Setting:

After the administrator sets the above information, the client automatically applies SMTP to send emails and attachments. The client can also set SMTP information separately. The principle is that the client settings take precedence over the management settings.

1. Open the Curtain client and click File > Settings. In the SMTP Settings screen, enter the SMTP related parameters. as the picture shows:

2. Select the file, right-click and select “Send Request”, fill in the relevant information of the applicant, select the approver, and checked "Auto-sending Send Request email through SMTP" checkbox and click ok to send the email.

3. Completed the Send Request.
