Question:What is Copy-out Form Log / File Operation Audit Log?
 
Answer:The 'Copy-out Form Log' and 'File Operation Audit Log' are the same functionality in e-locker. However, starting from version 5.0.3274.19, the name 'Copy-out Form Log' is used instead of the old name, 'File Operation Audit Log'.

Administrators can allow users to copy files out of Protected Zone after filling up declaration form. After the files are successfully copied out, Curtain will not protect the files anymore. Therefore, this function should be only granted to authorized users. All these Copy-out activities will be logged in File Operation Audit Log and it can be sent to team heads periodically. No Approval is needed (For details, please refer to FAQ 00263).

P.S. Provided that, users must be already allowed to copy protected files out of the Zone. Therefore, this function should be configured together with "Copy files out by file type (FAQ 00206)"

Steps to enable File Operation Audit (Copy-out with declaration):
1. In Curtain Admin, select "File > Settings".



2. In File Operation Audit tab, check "Copy-out Reason".






3. Click "Form" button to define the declaration form.





- There are 2 Form Types
  • Customized : If the form you want to build is complicated, you can contact us for tailor-made declaration form. The customized form should be imported here.
  • Self defined : Select this option to define your own declaration form.

If you are going to define your own declaration form, please go to next step to continue.

4. Select "Self defined" to build your own declaration form.

- There are 6 buttons.
  • Add : Add a new field to the declaration form
  • Remove : Delete a field from the declaration form
  • Modify : Modify a field in the declaration form
  • Move up : Move a field up
  • Move Down : Move a field down
  • Preview : Preview the self-defined declaration form

5. Click "Add" button, "Field Properties" dialog box will be shown.



- There are 7 items for defining a field.
  • Name : The field name
  • Type : The field type
    • Input - Allow users to input texts
    • Single Selection - Allow users to choose one value from the selection list
    • Multiple Selection - Allow users to choose multiple values from the selection list
    • Input or Selection - Allow users to input texts OR choose a value from the selection list
  • Values : Values of the selection list (P.S. disabled when "Input" type is selected)
  • Compulsory : If it is checked, this field must be filled.
  • Length Range (characters) : Define the input range of the field (P.S. only available for "Input" field type)
  • Display Name : Display Name for the field
  • Remarks : Texts entered here will be shown when mouse-over the field.

Here is an Example:

Added 4 fields in the declaration form. You can click "Preview" button to preview the form.





It is flexible to create your own declaration form.

Steps to Copy Protected files out with declaration form in Curtain Client:
1. In Curtain Client, select file(s) and right-click. If you are allowed to copy the selected file types out of Protected Zone, "Copy to" will be shown in the right-click menu as below.



2. Copy the selected file(s) to Desktop, Mail Recipient or Choose a Destination Directory. If "File Operation Audit" is enabled by administrator, declaration form will be shown.

3. Complete the form and click OK.



4. The selected file(s) will be copied out. And the declaration data will be stored in File Operation Audit Log in Curtain Admin.
